PWC of 100 Policy on Audio and Video Recording

Adopted by the PWC of 100 Board on January 16, 2014

 

This Policy establishes standards of practice, behavior, and decorum for persons making audio and video recordings at public events of the Prince William Committee of 100 (PWC 100).  This Policy does not apply to still photography.  No one making audio or video recording at a public event of PWC 100 need obtain verbal or written consent from the PWC  100, but we do require notice from those intending to publish their recording.  All individuals making audio or video recordings for any purpose shall be required to follow the standards of practice, behavior, and decorum in this Policy. 

1.           Individuals or organizations making audio or video recordings of public events of the Prince William Committee of 100 (PWC 100) shall:

A.           Notify the PWC 100 not fewer than 48 hours in advance to advise the PWC  100 of their intent to record the event for purposes of publication.  Please contact us at Secretary@PWC100.org.  Individuals or organizations making audio or video recordings will be formally recognized and properly announced to all participants at the event.

B.           Be respectful of guests and avoid disrupting the program by recording in areas which do not impede the line of sight of attendees and participants to the event, and especially of the activity and movements of the official PWC 100 videographer, or otherwise disrupt the event.

           C.            Limit recording of images (for both  personal use and publication) to images of PWC 100 members or officers introducing the event, the moderator, and members of the panel, and limit audio recording to statements by PWC 100 members or officers introducing the event, the moderator, members of the panel, and questioners from the public.  Video recording of the event location is allowed only as a brief sweeping scan to capture the setting. 

2.           Limitations on Use.  Any audio or video recording made of any PWC 100 public event, especially excerpts, if published in any media for public consumption (includes Facebook, Twitter, and other social media venues), shall cite and acknowledge the PWC 100, and direct viewers/readers of the publication to the PWC 100 website at http://www.pwc100.org to view the program in full.  Any excerpt recorded at any PWC 100 public event shall have a statement that the excerpt is not endorsed by the PWC 100, and shall direct viewers to the PWC 100 website to view the event in full.
